Operations Executive

Responsibilities:

  • Act as a first point of contact within the Global Logistics Operations Center, managing correspondence and queries in a timely manner and with discretion
  • Provide full administrative support to the Head of G-LOC, managing daily requirements and prioritizing tasks to support the smooth and efficient operation of the team
  • Organize events and conferences, managing schedules, travel arrangements, expenses etc
  • Embrace innovation and the tools available to investigate opportunity for the use of AI in process and organization of tasks
  • Use initiative to develop more efficient practices and procedures to support the operation of the G-LOC
  • Create reports, presentations and other documents as required
  • Manage the department roster – ensuring the shift pattern, approved leave and business travel are accounted for, while managing any unplanned absences to ensure the team is resourced appropriately each day
  • Coordinate the onboarding and induction of new employees
  • Manage training requirements for the team
  • Ensure company policies and procedures are upheld in all activities of the G-LOC and the team
  • Liaise with all Campus Ireland entities in the co-ordination of the G-LOC team activities and training, and in support of the general running of the Campus
  • Undertake project work as required
  • To ensure the smooth running of the office at all times
  • When required, support delegation of tasks within the team
  • Any other duties commensurate with your skills and experience and as directed by your manager in the development of the role and the G-LOC

Experience & Skills Required:

  • Adaptable, with experience in a similar role in a fast-paced and changing environment
  • Confident using MS Office and navigating the digital workplace with the ability to understand and pick up new systems/processes
  • High level of IT affinity for taking the journey of having a digital workplace incl. setting up the sharepoint pages and encouraging the team to embrace new ways of working.
  • A self-reliant, proactive, structured and careful way of working
  • Excellent communication skills with the ability to flex style and be a positive influence
  • Professional, friendly and confident in engaging and collaborating with all roles across the organization
  • Proven ability to work independently on projects
  • Excellent organizational skills to handle a wide variety of activities and confidential matters with discretion and sound judgment.
  • Flexibility in terms of availability and ways of working
  • Business language skills English, other language skills are an advantage
