Contracts Administrator and Customer Service Manager

The Contracts Manager is responsible for maintaining the company’s excellent reputation, built over 37 years, by delivering high levels of service and product quality. This role requires adherence to very high-quality standards, promoting health & safety, and maintaining a tidy work environment. The manager is expected to lead by example and foster a motivated team focused on achieving company objectives.
 Main functions:

  • Assist with a detailed site survey based on the quotation and drawings presented by the sales director.
  • Compile detailed survey notes and issue instruction sheets for each team involved in the project together with photographic details
  • Prepare job orders for windows and doors and roofing required and ensure delivery times are compatible with the project timelines
  • Allocate the work to the various teams on the project management software and ensure that all timelines meet the client's expectations.
  • Arrange deliveries to the site of all materials.
  • Ensure daily check-ins on site and over the phone with both site teams and the client to ensure the smooth running of the project.
  • Maintain the working relationship with the Client and foster a team approach.
  • Hand over and quality check of the finished product and arrange any snagging if required.
  • Scheduling and arranging ongoing maintenance and service work.
  • Promotion of the company brand.

Principal responsibilities:

  • In association with the sales director ensure that the client requirements are understood by all the teams involved.
  • Ensure the accuracy of the site surveys so any issues are noted, measurements are correct and detailed instructions are communicated to the teams involved.
  • Plan the efficient use of the manpower available to ensure the project is delivered on time and on budget.
  • Communicate with the client if any changes to the project dates are required.
  • Manage the logistics so that all materials are available when required and are delivered to site on time.
  • Manage the stock levels and purchasing at the head office.
  • Manage the prefabrication of the sunroom roofs in-house.
  • Use the project management software to update the progress on the jobs daily and maintain a log of all changes to specifications.
  • Maintain constant communication between all parties so everyone involved in the project knows what is going on.
  • Liaise with the subcontractors and maintain a high level of teamwork and ensure that the quality of the work reflects the clients expectation.
  • Responsible for the coordination, planning and execution of all compliances on site

Requirements

  • Minimum 5 years building work experience and a trade is preferable
  • Strong communication skills
  • Must be mathematically competent
  • High level of IT competence and skills
  • Clean driving licence
  • Forklift licence
  • Safepass
