Responsibilities in the Role will include:
  • Act as a first point of contact within the Global Logistics Operations Centre, managing correspondence and queries in a timely manner and with discretion.
  • Provide full administrative support to the Head of G-LOC, managing daily requirements and prioritising tasks to support the smooth and efficient operation of the team.
  • Organise events and conferences, managing schedules, travel arrangements, expenses etc.
  • Create reports, presentations and other documents as required.
  • Manage the department roster - ensuring the shift pattern, approved leave and business travel are accounted for, while managing any unplanned absences to ensure the team is resourced appropriately each day.
  • Use initiative to develop more efficient practices and procedures to support the operation of the G-LOC.
  • Coordinate the onboarding and induction of new employees.
  • Manage training requirements for the team.
  • Ensure company policies and procedures are upheld in all activities of the G-LOC and the team.
  • Undertake project work as required.
  • To ensure the smooth running of the office at all times.
  • When required, support delegation of tasks within the team.
  • Any other duties commensurate with your skills and experience and as directed by your manager in the development of the role and the G-LOC
Experience & Skills Required:
  • Adaptable, with experience in a similar role in a fast-paced and changing environment.
  • Confident using MS Office and navigating the digital workplace with the ability to understand and pick up new systems/processes.
  • High level of IT affinity for taking the journey of having a digital workplace incl. setting up the SharePoint pages.
  • A self-reliant, proactive, structured and careful way of working.
  • Professional, friendly and confident in engaging and collaborating with all roles across the organisation.
  • Proven ability to work independently on projects.
  • Excellent organisational skills to handle a wide variety of activities and confidential matters with discretion and sound judgment.
  • Flexibility in terms of availability and ways of working.
