Responsibilities:
- Data entry, validation, and updating in the company's CRM system
- Creating electronic files and adhering to filing guidelines
- Administering new/existing business processes, including processing applications, cheques, and documentation for the bank
- Corresponding with brokers and the sales team to address documentation queries
- Providing daily updates to management and the sales team
- Collaborating with team members to ensure prompt documentation issuance and adherence to service-level agreements
- Processing investment and invoice documents along with related payments
- Offering valuations and communicating with brokers and team members for timely documentation issuance
- Liaising with brokers and product providers for relevant investment information
- Monitoring and managing the Outlook inbox, addressing queries or forwarding to the appropriate staff
- Logging received post for various administration teams
- Preparing outgoing post for delivery to postal services
- Assisting in general office tasks such as photocopying, scanning, emailing, posting, reconciliations, and data checking
- Handling customer phone and email queries, transferring calls/emails or taking detailed messages for remote colleagues.
- Positive and energetic outlook with a willingness to learn
- Strong Microsoft Office skills (Excel, Word, etc.)
- Organized approach to administration, multitasking, and prioritization
- Professional telephone manner
- Accuracy and attention to detail
- Excellent communication skills for interactions with colleagues, supervisors, management, brokers, and clients
- Previous financial services experience is advantageous but not essential.
