Logistics Administrator – Fixed Term Contract
LOGISTICS ADMINISTRATOR
PURPOSE OF ROLE

LOCATION
Togher Industrial Estate, Cork
ROLE AND RESPONSIBILITIES
- Coordinate and administer all activities related to third party transport providers, ensuring efficient and compliant inbound and outbound logistics.
- Act as the primary operational point of contact for delivery enquiries related to customer orders.
- Manage the transfer of shipping data to partner 3PL’s (via EDI), ensuring accuracy and timely communication.
- Prepare and issue all documentation required for international exports, including shipments to regions such as the UK, Middle East, North America, and other destinations as required.
- Generate commercial invoices, customs documentation, and any other paperwork required to support import and export activities.
- Create and issue purchase orders, manage supplier confirmations, lead times, delivery schedules, and associated communications.
- Liaise closely with Finance regarding pro forma payments, invoice approvals, end of month processing, invoice discrepancies, rejections, and the management of credit note requests.
- Oversee the tracking and administration of returnable containers, including monitoring returns from customer sites and coordinating requirements with internal stakeholders.
- Manage stock movements between external storage facilities and the operating site, ensuring timely replenishment and maintaining visibility of inventory across locations.
- Manage the delivery schedules for products dispatched from external warehouses, ensuring stock is replenished based on customer demand and internal planning requirements.
- Coordinate customer deliveries that are dependent on location specific supply arrangements, ensuring orders are fulfilled efficiently and in line with internal service agreements.
- Perform any additional duties or support tasks as assigned to meet operational or business needs.
REQUIREMENTS & EXPERIENCE
- Strong, proven administration skills (minimum 5 years) ideally in a similar environment (manufacturing).
- Experience dealing with customs/international trade paperwork, distinct advantage.
- Experience working on an ERP system, essential.
- Proficiency in Microsoft Office Suite.
- Experience working in a fast-paced environment.
- Excellent command of English language (both orally and written).
- Valid visa/citizenship to work in Ireland.

- Strong communication/collaborative skills (verbal & written). Collaborate effectively with internal and external stakeholders.
