HR Officers – Recruitment Administration (Remote)
Job Purpose
To deliver high-quality, end-to-end administrative support across structured recruitment competitions and onboarding processes. The role ensures a professional, efficient, and compliant service, supporting the attraction and appointment of talent within a regulated, public-facing environment.
Key Responsibilities
- Establish and manage recruitment competitions within the Applicant Tracking System (ATS), ensuring accurate and timely data management throughout each stage.
- Administer candidate applications, including eligibility screening, qualification checks, and document control in line with defined criteria.
- Coordinate shortlisting processes, including preparation of candidate packs and support to assessment panels.
- Manage interview logistics, including scheduling, panel coordination, candidate communication, and venue/virtual arrangements.
- Prepare and issue all recruitment-related documentation, including interview packs, candidate correspondence, offer documentation, and onboarding materials.
- Act as a key point of contact for candidates, panel members, and internal stakeholders, ensuring clear, professional, and timely communication.
- Maintain structured and auditable recruitment files, ensuring full traceability and compliance with governance requirements.
- Track and report on competition progress, maintaining accurate status updates, reports, and management information.
- Support onboarding processes for both newly approved competitions and appointments arising from established panels.
- Ensure all activity is delivered in line with Standard Operating Procedures (SOPs), public sector governance standards, and data protection legislation.
- Identify and escalate risks, delays, or compliance issues in a timely and solution-focused manner.

Person Specification
Essential
- Experience working within public sector, education, research, or grant-funded environments
- Experience in recruitment administration, HR operations, or high-volume coordination roles
- Strong administrative capability with excellent organisational skills
- High level of accuracy and attention to detail, particularly in regulated environments
- Proficient in the use of ATS/CRM systems and Microsoft Office (Excel, Word, Outlook)
- Strong written and verbal communication skills
- Ability to manage multiple competitions simultaneously and work to strict deadlines
Desirable
- Familiarity with structured recruitment competitions and panel-based selection processes
- Experience supporting onboarding and pre-employment clearance processes
- Understanding of governance, audit, and compliance requirements in recruitment
Please note these are remote positions with once monthly meetings in person in either Kildare or Cork. Candidates must be Ireland based for these roles and hold relevant work permits.
