Sales Admnistration Coordinator

In business for almost 60 years, we are proud to partner with our Finglas-based client in seeking an organised and customer-focused Sales & Customer Service Coordinator to join their team. This role involves managing customer orders, coordinating with internal departments, and delivering excellent customer service while supporting sales growth.

Key Responsibilities
Sales & Order Management

  • Process customer orders via phone, email, and sales representatives
  • Enter and manage orders in ERP systems (Microsoft NAV / MFG Pro)
  • Check stock availability and coordinate order fulfilment
  • Work closely with purchasing, production, logistics, and warehouse teams
  • Prepare quotations and manage customer pricing information
  • Support monthly sales and margin targets

Customer Service

  • Provide customers with updates on order status and deliveries
  • Handle customer enquiries professionally and efficiently
  • Manage customer accounts, invoices, PODs, and statements
  • Maintain accurate customer records and pricing files

Purchasing & Logistics Support

  • Assist with stock management and supplier orders
  • Allocate stock and coordinate dispatch and courier collections
  • Resolve delivery queries and supplier discrepancies
  • Track returnable containers/IBCs

Administration

  • Maintain accurate sales and customer documentation
  • Prepare reports as required by management
  • Manage customs documentation for authorised alcohol-based product sales
  • Assist with petty cash administration

Skills & Experience

  • Minimum 2 years’ experience in a sales support or customer service role
  • Previous ERP system experience essential
  • Strong Microsoft Office skills
  • Excellent communication and organisational skills
  • High attention to detail and ability to multitask
  • Ability to work independently and as part of a small team
  • Knowledge of paint/products industry an advantage
