Commercial / Office Administrator
Our Kildare-based client is seeking a proactive and organised Commercial / Office Administrator to join their busy Commercial Department. This is a varied role that combines commercial administration, reporting, customer support and office coordination. Working closely with the Commercial Manager and Sales Representatives, you will play a key role in supporting the day-to-day commercial operations of the business, ensuring accurate reporting, maintaining customer and pricing information, and providing exceptional administrative support across the department. This position would suit someone who enjoys working with data, has strong attention to detail and thrives in a fast-paced commercial environment.
Key Responsibilities
- Provide day-to-day administrative and commercial support to the Commercial Team and Sales Representatives, including cover during annual leave and busy periods.
- Act as a key point of contact for customer, supplier and internal enquiries via phone and email.
- Process customer orders, input orders onto the system, issue warehouse picking lists and assist with customer invoicing.
- Set up and maintain customer pricing, new accounts and promotional activity, including ad hoc system changes.
- Maintain accurate customer and commercial records across business management systems.
- Prepare weekly and quarterly commercial reports covering sales, revenue, year-on-year performance, strike rates, margins, targets, volumes, new accounts and sales pipelines.
- Monitor customer order status and produce reports to identify opportunities to increase sales.
- Maintain Sales Representative schedules and track incentives.
- Prepare competitor pricing and quotation analysis to support commercial reviews.
- Produce customer, supplier, free stock and rebate reports as required.
- Support regular supplier reporting and commercial reporting requirements.
- Collect, analyse and export data for internal teams and third parties.
- Liaise with the Credit Controller, Sales Manager, warehouse and other departments to ensure smooth operations.
- Provide general administrative support and assist with other commercial projects as required.
Requirements
- Previous experience in a commercial, sales support or office administration environment.
- Strong Excel skills, with good knowledge of Word and PowerPoint.
- Excellent numerical, analytical and organisational skills.
- High level of accuracy and attention to detail.
- Strong written and verbal communication skills.
- Ability to prioritise effectively, manage deadlines and work under pressure.
- Professional, proactive and flexible approach with strong relationship-building skills.
- Ability to maintain confidentiality and work effectively within a busy, changing commercial environment.
