HR Co-Ordinator

Clark Recruitment is working with a well-established organisation to recruit an HR Coordinator for its Dublin office. Reporting to senior management, you will give practical, hands-on HR support across the whole employee lifecycle. Acting as a point of contact for employees and managers, you will make sure HR processes run smoothly and comply with Irish employment law and company policy. The role covers recruitment, onboarding, employee records, HR reporting, payroll and benefits support, and employee relations.

Key responsibilities:

HR administration

  • Keep employee records, HR databases and personnel files accurate and up to date
  • Prepare contracts, offer letters, probation and salary review letters, and other HR correspondence using standard templates
  • Make sure HR records meet GDPR and data protection requirements
  • Manage electronic and paper HR filing systems
  • Coordinate onboarding, transfers, promotions and leavers

Recruitment and onboarding

  • Support recruitment campaigns: post vacancies, liaise with agencies and schedule interviews
  • Manage candidate communications and recruitment admin
  • Carry out pre-employment checks, references and right-to-work checks
  • Work with hiring managers on onboarding and induction
  • Make sure new starter paperwork is complete and accurate

Employee relations, payroll and benefits

  • Give first-line HR guidance to employees and managers, with support from senior HR and external advisors
  • Assist with disciplinary, grievance, absence and performance management processes, and take notes at meetings
  • Support employee engagement initiatives
  • Work with Finance and the external payroll provider to prepare and submit payroll information on time
  • Administer employee benefit schemes such as bike-to-work
  • Answer employee queries about pay, benefits and leave

HR systems, reporting and L&D

  • Maintain the HRIS and keep its data accurate
  • Produce regular HR and statutory reports
  • Support HR projects, audits and compliance reviews
  • Coordinate training programmes, keep training records and track mandatory training

Compliance

  • Monitor HR practices for compliance with Irish employment law, including Working Time, Equality, Health & Safety and Data Protection
  • Help prepare for audits and regulatory inspections

About you

  • A qualification in HR, Business Administration or a related field
  • CIPD Level 5 (or working towards it) is desirable
  • 1–3 years' experience as an HR Administrator, HR Coordinator or in a similar role
  • Experience coordinating recruitment and onboarding
  • Good knowledge of Irish employment law and GDPR
  • Familiarity with payroll and benefits administration
  • Experience with an HRIS and strong Microsoft Office skills (Excel, Word, Outlook)
  • Excellent attention to detail, organisation and multitasking
  • Strong communication and interpersonal skills, with fluent English
  • High level of discretion and confidentiality
