Finance Administrator Part Time

Job Title: Accounts Payable, Receivable & Reception Support
Location: Naas, Co. Kildare
Reports to: Accounts Payable/Accounts Receivable Manager
Hours: Monday to Friday 9.00 – 13.00

Job Purpose:
The primary role is to provide support to the Accounts Payable, Accounts Receivable, and Reception functions within the business. This is a dynamic position requiring strong multitasking abilities and excellent communication skills to ensure smooth operations across finance and reception.

Key Responsibilities:

The responsibilities of this role include, but are not limited to:

Accounts Payable & Receivable:

  • Assist in the review, verification, and processing of invoices, including sorting, three-way matching, and coding.
  • Process daily purchase invoices and customer receipts.
  • Handle queries from both suppliers and customers.
  • Manage incoming post for the AP & AR departments.
  • Scan and file all necessary documentation.
  • Provide support to the AP/AR Manager with month-end closure tasks.
  • Perform general administrative duties as they arise.
  • Generate and send customer invoices.
  • Collect and allocate payments.
  • Resolve payment discrepancies promptly.

Reception (Support Role):

  • Greet, welcome, and direct visitors professionally, ensuring they are properly announced.
  • Answer and forward incoming calls, providing basic information when required.
  • Uphold company policies by managing the visitor logbook and other procedures.
  • Assist in the organisation of meetings, appointments, and preparation of meeting rooms, including catering if needed.
  • Sort and distribute incoming mail and deliveries.
  • Manage the ordering of office supplies and stationery.
  • Handle travel arrangements, including booking flights and hotels for Sales Representatives.
  • Coordinate with HR, Health & Safety, and other departments for events, stands, and presentations.
  • Assist with ad hoc reception tasks as needed.

Qualifications, Skills, & Experience:

  • Reception experience is essential.
  • Accounts Payable or Receivable experience is preferred.
  • Strong communication and interpersonal skills, with the ability to handle escalated queries effectively.
  • High level of computer literacy, particularly in Microsoft Office applications.
  • Excellent time management, able to work independently and as part of a team.
  • Approachable, enthusiastic, and adaptable, with a flexible approach to varying tasks.
  • Exceptional attention to detail and strong organisational skills.
  • Ability to manage multiple tasks and priorities effectively, supporting the team to ensure deadlines are met.
