Finance Administrator Part Time
Job Title: Accounts Payable, Receivable & Reception Support
Location: Naas, Co. Kildare
Reports to: Accounts Payable/Accounts Receivable Manager
Hours: Monday to Friday 9.00 – 13.00
Job Purpose:
The primary role is to provide support to the Accounts Payable, Accounts Receivable, and Reception functions within the business. This is a dynamic position requiring strong multitasking abilities and excellent communication skills to ensure smooth operations across finance and reception.
Key Responsibilities:
The responsibilities of this role include, but are not limited to:
Accounts Payable & Receivable:
- Assist in the review, verification, and processing of invoices, including sorting, three-way matching, and coding.
- Process daily purchase invoices and customer receipts.
- Handle queries from both suppliers and customers.
- Manage incoming post for the AP & AR departments.
- Scan and file all necessary documentation.
- Provide support to the AP/AR Manager with month-end closure tasks.
- Perform general administrative duties as they arise.
- Generate and send customer invoices.
- Collect and allocate payments.
- Resolve payment discrepancies promptly.
Reception (Support Role):
- Greet, welcome, and direct visitors professionally, ensuring they are properly announced.
- Answer and forward incoming calls, providing basic information when required.
- Uphold company policies by managing the visitor logbook and other procedures.
- Assist in the organisation of meetings, appointments, and preparation of meeting rooms, including catering if needed.
- Sort and distribute incoming mail and deliveries.
- Manage the ordering of office supplies and stationery.
- Handle travel arrangements, including booking flights and hotels for Sales Representatives.
- Coordinate with HR, Health & Safety, and other departments for events, stands, and presentations.
- Assist with ad hoc reception tasks as needed.
Qualifications, Skills, & Experience:
- Reception experience is essential.
- Accounts Payable or Receivable experience is preferred.
- Strong communication and interpersonal skills, with the ability to handle escalated queries effectively.
- High level of computer literacy, particularly in Microsoft Office applications.
- Excellent time management, able to work independently and as part of a team.
- Approachable, enthusiastic, and adaptable, with a flexible approach to varying tasks.
- Exceptional attention to detail and strong organisational skills.
- Ability to manage multiple tasks and priorities effectively, supporting the team to ensure deadlines are met.
